The Personal Assistant will provide front-office, administrative and coordination support while serving as an important point of contact for parents, learners, visitors, staff and members of the public.
Key Responsibilities
Front-Office and Client Service
The successful candidate will be responsible for:
- Welcoming and assisting visitors to the school.
- Managing walk-in, email, telephone and general enquiries.
- Providing accurate information to parents, learners, clients and members of the public.
- Answering, screening and directing incoming calls professionally.
- Taking accurate messages and ensuring they are communicated to the relevant staff members.
- Directing visitors to the appropriate departments or personnel.
- Maintaining a professional and welcoming front-office environment.
Administration and Coordination
Duties will include:
- Generating quotations and managing conference centre bookings.
- Liaising with the food and beverage department regarding events and venue requirements.
- Organising and coordinating the use of venues and boardrooms.
- Updating, maintaining and distributing staff telephone lists.
- Tracking and communicating staff movements in and out of the school.
- Providing general administrative and clerical support when required.
- Maintaining a good understanding of the school’s portfolio and service offering.
- Supporting the school’s administrative and operational requirements.
- Demonstrating commitment to education and upholding the school’s ethos and values.

Requirements
Applicants should meet the following requirements:
- Previous experience in a similar administrative or front-office position.
- Higher education experience will be advantageous.
- Strong client service orientation.
- Excellent verbal and written communication skills.
- Ability to operate a switchboard and manage front-line enquiries.
- Additional language skills will be an advantage.
- Excellent organisational and multitasking abilities.
- Strong problem-solving skills.
- Professional personal presentation.
- Strong interpersonal and relationship-building skills.
- Ability to work independently and take initiative.
- Familiarity with a higher education environment will be advantageous.
- Ability to remain calm and reliable under pressure.
- Ability to work effectively in a fast-paced school environment.
