About the Property Portfolio Administrator Role

The successful candidate will take ownership of the administration and coordination of an existing property portfolio.

You will work with senior operations leadership and company directors while coordinating with letting agents, contractors, insurers, brokers, lenders, valuers and legal professionals.

The role requires someone who can work independently, follow processes carefully and proactively chase outstanding matters rather than waiting for instructions.

UK property experience is not required, and the employer will provide training. Strong administration, organisation, communication and process-management skills are more important.

Duties and Responsibilities

Portfolio Administration and Compliance

The Property Portfolio Administrator will:

  • Manage day-to-day administration across the property portfolio.
  • Monitor rental statements and follow up on repairs.
  • Track arrears and tenant changeovers.
  • Respond to and manage letting agent queries.
  • Track safety certificates and ensure renewals are completed on time.
  • Monitor property insurance renewals.
  • Coordinate council tax setups and utility transitions.
  • Maintain accurate records across CRM systems, mortgage schedules, cloud folders and portfolio trackers.
  • Ensure important property information remains complete and up to date.

Mortgage and Refinance Administration

Responsibilities will also include:

  • Maintaining accurate mortgage and refinance schedules for financed properties.
  • Monitoring mortgage end dates.
  • Starting refinance preparation at least three months before relevant deadlines.
  • Coordinating with mortgage brokers, lenders, valuers and legal teams.
  • Ensuring required documentation is supplied and progressed.
  • Following up on outstanding refinance matters to prevent unnecessary delays.

Communication and Coordination

The successful applicant will:

  • Manage the portfolio inbox on a daily basis.
  • Acknowledge, prioritise and progress incoming queries.
  • Share important portfolio updates with operations, finance and marketing teams.
  • Coordinate information between internal teams and external stakeholders.
  • Build professional relationships with letting agents, contractors, insurers and advisers.
  • Use phone calls when they can resolve issues more efficiently than email.
  • Document important decisions and actions after calls.

Reporting and Portfolio Optimisation

The role also involves:

  • Reviewing portfolio cash flow, occupancy and operating costs each month.
  • Identifying practical efficiency improvements.
  • Bringing forward cost-saving recommendations.
  • Preparing concise reports covering portfolio performance, refinance progress, risks and upcoming actions.
  • Keeping senior leadership informed of important portfolio matters.

Requirements

Applicants should have:

  • At least 5 years of experience in high-volume administration, senior operational support, project coordination or executive assistant work.
  • Strong IT skills and confidence using spreadsheets and CRM platforms.
  • Excellent written and spoken English.
  • Strong organisational and administrative skills.
  • The ability to learn new software quickly.
  • An interest in using AI tools to improve administrative workflows.
  • A proactive approach to following up outstanding tasks.
  • Strong attention to detail and process discipline.
  • The ability to communicate clearly and professionally.
  • Experience supporting international clients remotely is advantageous.
  • Knowledge of Google Workspace is an advantage.
