Purpose of the Role
The Team Assistant will provide effective administrative, secretarial and office support to the team. The successful candidates will help managers and employees focus on their core responsibilities by ensuring that administrative activities, documentation, meetings, schedules and office operations are properly coordinated.
Key Responsibilities
Administrative and Secretarial Support
The successful candidates will be responsible for:
- Managing daily administrative and operational activities.
- Coordinating meetings, preparing agendas and recording minutes.
- Managing managers’ diaries, appointments and schedules.
- Preparing and distributing reports, presentations, correspondence and business documents.
- Ensuring documents meet company branding, formatting and quality standards.
- Maintaining departmental filing systems, records, databases and templates.
- Updating reporting and distribution lists.
- Coordinating local and international travel and accommodation arrangements.
- Organising meetings, workshops, conferences and events.
- Logging and monitoring IT and operational service requests.
- Managing office supplies, stationery and procurement requests.
- Coordinating the receipt, dispatch and delivery of goods and services.
Building and Office Administration
Duties will also include:
- Acting as a focal point for building-related administration.
- Liaising with Real Estate Services, cleaning services and other support functions.
- Maintaining a professional reception area.
- Coordinating conference room bookings.
- Coordinating office equipment maintenance.
- Keeping workplace notice boards and communications up to date.
Personnel and Team Administration
The Team Assistant will:
- Coordinate annual medical examinations and employee administration activities.
- Prepare and issue acting appointment letters and related communications.
- Maintain SharePoint and other team information platforms where required.
- Support management with team communications and information requests.
- Liaise with stakeholders regarding administrative and communication matters.
- Maintain departmental schedules and rosters, including the WAM standby roster.
- Provide administrative assistance during leave periods, peak workloads and special projects.
Leadership and Continuous Improvement
The role also involves:
- Taking responsibility for personal development and continuous learning.
- Coordinating Performance Partnership Agreement discussions when requested.
- Identifying opportunities to improve administrative processes and efficiency.
Requirements
Minimum Qualification
- Grade 12 / National Senior Certificate.
Work Experience
Applicants should have:
- 3–5 years’ experience in administration, secretarial work or a Team Assistant role.
- Experience with diary management.
- Experience in document control and office administration.
Technical Skills
Candidates should have:
- Advanced Microsoft Office skills, including Word, Excel, PowerPoint and Outlook.
- Strong administrative and organisational abilities.
- Good document management skills.
- Excellent verbal and written communication.
- Strong attention to detail and accuracy.
- The ability to manage multiple priorities and meet deadlines.
