The Legal Administrator/PA will provide efficient administrative and personal assistant support to the Legal Department.

The role involves managing documentation, coordinating meetings and correspondence, maintaining legal records and trackers, supporting the Head of Legal and wider Legal Department, and ensuring that important legal deadlines and administrative requirements are monitored and actioned on time.

The successful candidate will also work with confidential legal, commercial and HR-related information and must demonstrate a high level of accuracy, professionalism and discretion.

Duties and Responsibilities

The successful candidate will be responsible for:

  • Managing diaries, meetings, appointments and correspondence for the Head of Legal and wider Legal Department.
  • Drafting, formatting and proofreading legal documentation, including franchise agreements, leases, correspondence and related documents.
  • Ensuring legal documents are accurate, consistent and correctly use defined terms.
  • Reviewing and refining draft documents by removing unnecessary or repetitive wording while maintaining the intended legal meaning.
  • Maintaining and updating legal trackers and schedules in Excel.
  • Tracking franchise agreement renewals, lease expiries, trade mark deadlines and litigation matters.
  • Maintaining accurate physical and electronic filing systems for executed contracts, leases, trade mark records, legal correspondence and other confidential documentation.
  • Liaising with franchisees, landlords, attorneys and internal stakeholders regarding routine legal and administrative matters.
  • Preparing presentations, reports, spreadsheets and other supporting documentation for the Legal Department.
  • Using approved AI tools appropriately to assist with drafting, summarising and proofreading.
  • Independently reviewing and verifying all AI-generated content before it is used.
  • Handling sensitive legal, commercial and HR-related information with confidentiality and discretion.
  • Providing general administrative and coordination support to the Legal Department.
  • Assisting with maintaining accurate records.
  • Ensuring key legal deadlines and administrative requirements are monitored and actioned timeously.

Requirements

Applicants should meet the following requirements:

  • 1–2 years’ experience within a commercial legal department or commercial law firm is essential.
  • Minimum 3 years’ practical experience using Microsoft Office.
  • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook and Teams.
  • Diploma or equivalent relevant qualification.
  • Strong attention to detail and a high level of accuracy.
  • Excellent written English.
  • Strong proofreading and document-editing skills.
  • Strong organisational and administrative skills.
  • Ability to manage multiple priorities and deadlines.
  • Ability to work independently with minimal supervision.
  • Ability to maintain a high standard of work.
