Purpose of the Job
The Officer: Facilities Management will implement facilities services and support the maintenance of a functional, safe and properly equipped working environment.
Key Responsibilities
Administrative Facilities Support
The successful candidate will be responsible for:
- Liaising with maintenance teams regarding required repairs.
- Conducting scheduled building inspections.
- Managing boardroom bookings and ensuring meeting/function setups meet required standards.
- Ensuring offices are properly furnished and equipped according to approved guidelines.
- Attending to facilities-related tasks and calls and monitoring their completion.
- Maintaining required hygiene standards.
- Monitoring service providers to ensure compliance with service level agreements, contracts and schedules.
- Completing relevant inspection sheets.
- Coordinating the ordering of specified facilities items and monitoring their receipt.
Space and Parking Management
Responsibilities will include:
- Coordinating parking requests and escalating matters to the Senior Officer where necessary.
- Administering and reconciling parking allocations against available parking bays, headcount and contracts.
- Auditing allocated parking and ensuring compliance.
- Conducting office churning and providing relevant advice and support.
Accounts and SAP Administration
The position will also involve:
- Consolidating and quality-assuring invoices for rent and other facilities management services.
- Following up with landlords and managing agents regarding outstanding invoices before month-end.
- Comparing invoices against amounts agreed in contracts.
- Submitting invoices and payment documentation to the Senior Officer for verification and authorisation.
- Creating SAP requisitions and following up on their release.
Reporting
The Officer will:
- Prepare monthly reports covering activities within the Facilities Services section.
- Provide updates on facilities-related requisitions and their status.
- Report concerns identified during workplace walkabouts, including occupational health and safety, electrical, plumbing and other facilities-related issues.

Requirements
Qualification
Applicants must have:
- A Bachelor’s Degree or Advanced Diploma in Facilities Management or a related qualification.
- A valid driver’s licence.
Experience
Applicants should have:
- At least 3 years’ relevant experience in a Facilities Management environment.
- Experience with SAP will be an added advantage.
