Position Summary

The Donor Care Officer is responsible for collecting quality and safe blood and blood products in line with the specific targets established for each blood drive, whether fixed or mobile.

The role also involves donor care, donor assessment, phlebotomy, documentation, blood drive preparation, customer service, compliance with SANBS procedures and maintaining a safe clinical environment.

Key Performance Areas

1. Financial

The successful candidate will:

  • Manage cost per unit for whole blood and specialised collections within agreed blood drive or donor centre targets.
  • Determine, pack and load consumables according to blood drive or donor centre requirements.
  • Maintain and validate equipment and ensure that repairs are completed promptly.
  • Report increases or decreases in consumable usage to the Clinic Supervisor.
  • Report discrepancies in consumable stock deliveries.

2. Customer and Stakeholder Relations

Responsibilities include:

  • Managing stakeholder relationships at blood drives and donor centres.
  • Welcoming donors and assisting or guiding them to the registration table.
  • Ensuring donors read relevant pamphlets and posters before medical assessment.
  • Assisting donors with completing donor forms.
  • Clarifying donor queries.
  • Reporting or addressing complaints with the person in charge before or by the end of the shift.
  • Ensuring donor needs and priorities are understood.
  • Coaching team members on customer service by discussing the root causes of complaints, compliments and queries.

3. Internal Processes

The Donor Care Officer will:

  • Collect whole blood and/or apheresis units to meet assigned targets.
  • Assist the team with packing and off-loading the vehicle at venues.
  • Assist with setting up blood drives before donors arrive.
  • Complete donor documentation and assessment procedures according to relevant standard operating procedures.
  • Assist with donor identification and registration.
  • Check donor forms for completeness.
  • Assist with recruitment and booking of whole blood and specialised donors.
  • Conduct basic physical checks on donors according to the applicable SOP.
  • Capture relevant donor information and report deviations to the person in charge of the clinic.
  • Document results of physical checks on appropriate record sheets and donor questionnaires.
  • Immediately inform the Clinic Supervisor or designated deputy of irregularities.
  • Conduct confidential risk-behaviour interviews with potential donors.
  • Educate donors regarding high-risk behaviour.
  • Prepare blood packs using the scale to ensure the correct blood volume is collected.
  • Prepare the phlebotomy section and perform phlebotomy according to the relevant SOP.
  • Provide donor care and education during the donation process.
  • Provide refreshments and appropriate donor support.
  • Initiate First Aid or CPR during emergencies with assistance from the person in charge or SANBS Medical Lead Consultant while awaiting emergency personnel.
  • Complete post-donation documentation and additional reports where required.
  • Provide post-donation care and advice.

4. Learning and Growth

The role also includes:

  • Performing Clinic Supervisor duties, roles and responsibilities when required according to operational needs.
  • Participating in monthly staff meetings covering strategy, organisational values, team building, policy changes and standard operating procedures.
  • Assisting the Clinic Supervisor with analysing training needs.
  • Supporting staff competency through observation of relevant policies and procedures.
  • Completing relevant continuing professional development activities and portfolios of evidence.

5. Governance

The successful candidate will:

  • Maintain updated staff and equipment files according to applicable policies and procedures.
  • Oversee the application of relevant policies and procedures in the unit.
  • Follow SHEQ and operational policies and procedures.
  • Ensure medical waste generated during blood drives is discarded according to the applicable SOP.
  • Maintain a safe environment by ensuring safety procedures are followed.

Minimum Requirements

Education

Applicants must have:

  • A Diploma or Degree in General Nursing Sciences.
  • A Code B or EB manual driver’s licence.

Experience

  • At least 2 years of Registered Professional Nursing experience.

Knowledge and Skills

Applicants should have knowledge and understanding of:

  • Relevant SANBS policies and procedures.
  • Standards of Practice for Blood Transfusion in South Africa.
  • Relevant legislation and applicable workplace procedures.

Important Skills and Competencies

The position requires strong clinical, communication and donor-care abilities. Candidates should be able to work effectively with donors and team members while following clinical procedures, safety requirements and SANBS operational standards.

The role also requires the ability to perform phlebotomy, conduct donor assessments, maintain accurate documentation and respond appropriately to emergencies.
