The successful candidate will report to the Regional Manager – Leasing and will support leasing consultants and other internal departments with lease administration, tenant queries, renewals, billing-related information and property documentation.

Position Purpose
The Leasing Administrator is responsible for drafting and finalising lease documentation, correspondence and related administrative functions. The position also involves receiving and checking signed documentation, maintaining tenant and lease records, assisting with renewals and supporting the leasing team with various administrative and property-related matters.
Key Responsibilities
The successful candidate will be responsible for:
- Finalising lease documentation according to prescribed standards.
- Drafting lease documentation, including special clauses and replacement pages.
- Highlighting amendments and obtaining the required approvals.
- Checking signed leases and supporting documentation against the approved base documents.
- Ensuring signed leases comply with relevant legal requirements.
- Maintaining accurate unsigned lease reports and recording necessary contract notes.
- Forwarding original lease agreements to Head Office for safekeeping and copies to the relevant lease files and tenants.
- Advising the Finance Department of new contracts for billing purposes.
- Responding to internal and external queries relating to lease documentation.
- Handling day-to-day residential tenant queries.
- Preparing and dispatching annual renewal documentation to tenants.
- Keeping tenant files accurate, complete and properly filed.
- Drafting submissions for new and renewal leases.
- Preparing submissions for approval relating to the demolition of buildings.
- Maintaining people information in accordance with POPIA requirements.
- Updating renewals on SAP as required.
- Ensuring original lease documentation is correctly recorded in the legal control register for safekeeping.
- Communicating with municipalities regarding rates and taxes, water and electricity matters relating to leased properties.
- Reconciling rates and taxes accounts for affected leases.
- Compiling debit and credit forms relating to amounts due by or payable to tenants.
- Preparing deposit refund forms for approval.
- Providing ad-hoc information to the Legal Department on legal matters, particularly those involving residential tenants.
- Assisting leasing consultants with verification of pre-billing against SAP reports, exception reports, lease registers and annual budget inputs.
- Following up with the Legal Department regarding the status of legal cases involving tenant evictions.

Minimum Requirements
Applicants should meet the following requirements:
- Grade 12 (NQF Level 4) or Senior Higher Certificate (NQF Level 5).
- At least 3 years of relevant experience.

Who Can Apply?
