Job Purpose

The Personal Assistant will provide day-to-day personal assistant, secretarial and administrative support to senior management. The role involves managing schedules, meetings, correspondence, travel arrangements, office administration and stakeholder communication.

The successful candidate will also act as an important first point of contact for internal and external stakeholders.

Key Responsibilities

The successful candidate will be responsible for:

  • Managing executive diaries, calendars and appointments.
  • Planning and coordinating meetings and daily operations.
  • Resolving diary clashes and scheduling conflicts.
  • Coordinating key stakeholders for important meetings.
  • Booking meeting rooms and arranging visitor access and parking.
  • Organising catering and refreshments.
  • Receiving visitors and handling telephone calls.
  • Preparing correspondence, reports, agendas and meeting minutes.
  • Attending meetings and recording accurate notes.
  • Maintaining electronic and hard-copy filing systems.
  • Preparing and maintaining office records and reports.
  • Arranging local and international travel and accommodation.
  • Coordinating visas, passports, car hire and other travel requirements.
  • Managing invoices and payment processes.
  • Monitoring budgets and expenses.
  • Managing stationery, office supplies and equipment.
  • Responding to internal stakeholder queries.
  • Supporting other Personal Assistants with systems and processes.
  • Identifying opportunities to improve administrative processes.
  • Maintaining professional relationships with internal and external customers.

Requirements

Applicants should have a National Senior Certificate (Grade 12) / Matric and at least three years of relevant work experience.
